When you add a business book, LEDVRA asks what kind of business it is, whether you sell services or products, whether you keep stock, whether you send invoices or get bills, and how customers pay. Your answers only decide what LEDVRA suggests and shows first — which category names are offered, whether Inventory appears in the menu, and which connections are suggested. Nothing is posted and no tax or legal conclusion is drawn from them. Change them any time in Books & accounts › Book profile; past records never change. Every tool stays available from More.
Everything LEDVRA imports — bank activity, statement rows, receipts, sales-platform files — waits in Bookkeeping › Review. Nothing changes your books until you approve it there. You can approve one at a time or a group, choose the category and the book, split an item, or leave it for later. Approved items post as balanced double-entry records; you can still correct them afterwards.
Upload a bank or card statement — PDF, photo, CSV, Excel, OFX, QFX or QBO. CSV, Excel, OFX, QFX and QBO files are read by LEDVRA directly, without AI. PDFs and photos are read by LEDVRA AI only after you choose Allow & continue; choose Not now and the file is saved, not read, and you can read it later from Receipts & documents. LEDVRA checks every page and that the rows add up to the opening and closing balances, and marks the statement Verified, Review required or Incomplete. Missing pages or rows are reported, never filled in. If a statement can’t be read, LEDVRA says what went wrong, that nothing was imported, and what to try next — Try again reuses the same file. The rows wait in Review.
Bank and card connections use Plaid and are read-only: LEDVRA can read transactions and balances, never move money. Your bank sign-in happens in Plaid’s secure window; LEDVRA never sees your bank password. When Connections shows bank connections as Coming soon, upload a statement from any bank instead — its transactions go to Review the same way. Disconnecting stops future updates and never deletes what was imported.
Settings › Connections lists banks, payment processors, online stores and marketplaces, with what each one imports and what it doesn’t. Connect one that shows Available, or import any platform’s CSV or Excel export — LEDVRA remembers the columns. LEDVRA separates sales, fees, refunds and payouts, recognises the same sale arriving twice (for example from a file and a connection), and sends items to Review. Product records never change your stock by themselves.
Every bank works through statement upload (PDF, photo, CSV, Excel, OFX, QFX or QBO), and every sales platform works through a CSV or Excel export. You can also add transactions yourself. To ask for a connection, open Settings › Connections › Request an integration and tell us the provider’s name — LEDVRA never asks for a password or key there.
Upload a photo or PDF of a receipt. LEDVRA reads the date, merchant and total, shows what it read, and suggests a match with a bank or card transaction. You confirm or correct it before anything is saved to the books. If a receipt can’t be read clearly, LEDVRA tells you instead of guessing.
If you kept books in another program, export its trial balance as a CSV (and, if you have them, open invoices by customer and open bills by vendor). In Accounting › Chart of accounts › Beginning balances, choose Start from a trial balance. LEDVRA shows what it recognised, what it skipped, what needs a decision and the exact entries, and records nothing until you confirm. Amounts must be in US dollars; no connection is made to the other program and earlier transactions aren’t copied.
Posted entries are never edited silently. Open the entry and choose Reverse or correct: LEDVRA records a dated correction with your reason, keeps the original in the history, and returns linked imports to Review so you can post them again correctly.
Choose the account and its saved statement. Every uncleared line through the statement date starts ticked; untick anything that isn’t on the statement and it stays open for the next one. LEDVRA can suggest matches and lists statement lines that aren’t in your books yet. Reconciliation completes only at a $0.00 difference. Ticks save as you go and are shared between the website and the phone app.
Create an invoice for a customer; it records what they owe (accounts receivable). Record payments — part or in full — against it, or a credit note. Overdue invoices appear in What needs attention and in the aging report. LEDVRA never contacts a customer on its own — you choose when to send each invoice, by email from LEDVRA or with a secure link you share.
A payout is what the platform paid you after fees, refunds and timing. LEDVRA shows the sales, fees and refunds behind each payout so the bank deposit, the income and the costs each land in the right place.
Budgets, savings goals, forecasts and scenarios are plans. They never post to your books or change a report’s actual figures. Only approved bookkeeping entries change the books.
LEDVRA AI runs only when you ask, using only the minimum of your book needed for the question, and it asks for your OK before anything is sent. It explains and suggests; it never posts, pays, deletes, reconciles or sends anything by itself, and its numbers are checked against your books before you see them. If you don’t use it, nothing is sent. Settings › AI & approvals shows your AI history (what LEDVRA suggested and what you chose) and the notes you gave LEDVRA, which you can stop LEDVRA using at any time.
Turn on two-step sign-in in Settings › Security with an authenticator app. Each code works once. Keep your recovery codes somewhere safe — each one also works once. A book owner can require two-step sign-in for editors; editors get 14 days and can always still view the books.
Settings › Data & history › Account export gives you every record and document you can access. Backup & restore downloads a backup you can restore safely. The phone app can also create an encrypted backup protected by a passphrase you choose; LEDVRA can’t open it without that passphrase, so keep it safe. You restore it on the website.
Deleting your account starts a 30-day recovery period, then permanently deletes your account and the books only you use. Books other people use are never deleted for them. Provider connections are disconnected first. You can cancel during the 30 days.
